The Challenge
Clark Brownscombe had considered undertaking GDPR compliance themselves but, upon conducting initial due diligence, quickly decided that without subject expertise, that option would simply be too time consuming and not cost effective. An alternative solution was sought and through contacts they were referred to Chapter Three Consulting (C3C).
The Solution
Tana Jackson of C3C attended the initial meeting, impressing the firm with her straight forward approach to the brief. She explained how she would work with the firm to ensure compliance and set out a practical and manageable process with set costs in a proposal and C3C were appointed.
As Chartered Accountants, Clark Brownscombe already operate to a strict code of ethics and confidentiality, so Tana commenced with an audit of current procedures. As GDPR compliance relates purely to personal data (involving GDPR data subject rights and definitions of personal data), the objective was to separate this data and map it into the various data streams.
Overseeing this enabled Tana to determine, prioritise and provide the toolkit containing the policy templates that would be needed to ensure compliance across the business. The firm then systematically tailored these templates to meet requirements, allowing them to work very efficiently towards GDPR compliance without wasting any time. The process involved several meetings with Tana as well as emails and telephone conversations. She was there to help steer the firm through each step of the process.
The Results
Whilst Clark Brownscombe are confident they are compliant with current Data Protection legislation and now understand what is required, they know that it is an ongoing process.
The firm now has a very detailed understanding of all the procedures, processes and data streams across the whole business which has led to further improvements elsewhere, including new Terms of Business and other documentation. Overall, the change and awareness brought about by the GDPR has had a positive impact.
